DOCUMENTS GRID

The Document Grid has a Tab Control that segregates your files and email.

THE FILES TAB

When this tab is selected, the Document Grid displays the files located in the Category you selected from the Category Explorer.

THE EMAIL TAB

When this tab is selected, the Document Grid displays the emails that you saved into that Category from Microsoft Outlook.

THE ALL TILES TAB

When this tab is selected, all files contained within the database are displayed regardless of the Category they reside in.  This allows you to locate a document/file without having to traverse every Category in the Category Explorer.

THE ALL EMAIL TAB

When this tab is selected, all emails contained within the database are displayed regardless of the Category they reside in.  This allows you to locate an email without having to traverse every Category in the Category Explorer.

THE FOUND FILES & EMAILS TAB

When you perform a search on one or more Keywords, the search results are displayed under this Tab.
The results are segregated by a Files Tab and an Email Tab.

THE TAGGED FILES TAB

If you have created Document Tags for your files and/or Emails - selecting this Tab allows you to find all files and email having one or more Document Tags.

THE SETTINGS TAB

Selecting the Settings Tab enables you to set certain options related to the currently selected database.  Each database will maintain it’s own settings.

Regardless of the Tab you select, the Document Grid has a number of features that you should be aware of.

THE COLUMN HEADER FILTER

When you right-click on a Column Header a small filter menu will appear.  This can be handy if you’re searching for a file of a certain type.  In the example below, if .JPG is selected then the Document Grid will filter all of the file types to display only .JPG files.

The Document Grid also has another menu that appears when you perform a right-click on a row.

These options pertain to the selected file(s) or Email(s) that have been selected.

OPEN SELECTED FILES

Selecting this menu option causes the selected file(s) or Email(s) to be opened in their Native Application.  For example, if you performed a right-click → Open Selected File(s) on a CAD file, the Native Application will be launched and the file opened.  This applies to Microsoft Word documents, Microsoft Excel files, Image files and so forth.

EXTRACT SELECTED FILES

Selecting this menu option causes the selected file(s) or Email(s) to be extracted to your hard-drive, CD-ROM or USB Drive.  The files will remain in the database, but a copy of the file will be exported to the location you desire.

SELECT ALL

Selecting this option causes all file(s) or Emai(s) to be selected.

DELETE SELECTED FILE(S)

This option is used to delete the selected file(s) or Email(s) to be deleted.  Once deleted the file(s)/Email(s) cannot be restored.  Only use this option if you intend to permanently delete the selected file(s) or Email(s).

Right-Click On The Files Grid (Introduced In Version 2.46)

Now you can right-click on the Documents Grid and click on the Import New Version menu option.  If the file has changed (Version Control Must Be Turned On), the previous version will be archived and the newer version automatically imported!

You can multi-select more than one file in the Documents Grid and perform the same action on all of the selected files.

When you select a Category from the Category Explorer, the Document Grid displays the files and emails related to the selected category.
